This privacy collection notice applies to prospective international students participating in the University’s Interviewer.AI pilot.

Personal information we collect

When you use or access Interviewer.AI, we collect personal information including:

• Your name, contact details, and application identifiers
• A short (5–7 minute) video interview recorded in your browser
• Basic technical or log data (e.g. IP address, device type, interview status)

Interviewer.AI will extract the audio track from your interview video and process it using automatic speech recognition (ASR) and natural language processing (NLP) techniques, for the purpose of analysing your spoken English proficiency.

How we use your personal information

• We collect and use your personal information to:
• Enable you to participate in the Interviewer.AI pilot
• Assess spoken English levels to offer appropriate support services
• Evaluate and improve the pilot using de-identified and aggregated results, including trend analysis of spoken English levels for students across other admissions pathways.

This pilot does not influence admission outcomes.

Personal information we share with third parties

We will share your personal information with:

• Interviewer.AI (Singapore) – the University’s contracted service provider, and
• Authorised third-party service providers for Interviewer.AI, to host the interview, authenticate access, and perform ASR/NLP analysis and support.

We will not otherwise disclose your personal information without your consent unless authorised or required by law.

How we store and secure your information

Your personal information will be stored securely and disposed of in accordance with the University’s Recordkeeping Policy 2017.

• Within Interviewer.AI, video and transcript data are retained for up to [insert agreed timeframe] (or less if deleted sooner) and then permanently deleted.
• Reports or scores are deleted from the vendor at or before the same time.
• Where copies are retained in University systems for student support purposes, they will be kept only as long as necessary under University retention requirements and then securely disposed of.

Interviewer.AI is hosted on AWS in Singapore. Encryption is applied in transit (TLS 1.2+) and at rest (AES-256).

Your rights in relation to your personal information

You have the right to request access to and correction of your personal information held by the University. You can also access, correct and delete any information you upload to Interviewer.AI via your Interviewer.AI account portal.

Providing your personal information is voluntary, however if you do not provide all requested information [state consequence – e.g. we will not be able to provide service to you].

Welcome to your next step toward joining the Bachelor of Science program at the University of Sydney. This short online interview is part of our “Getting Started” initiative to help you prepare for your studies and reflect on your academic and personal goals. Through this interview, we invite you to share your thoughts about the major or area of study you’re most interested in, what excites you about it, and what you think it will involve.

The interview is designed to be simple and conversational, lasting approximately 5–7 minutes. It’s not a test, but rather an opportunity for you to express your interests and aspirations in your own words. Your responses will also help us understand your spoken English communication skills so that we can better support you as you begin your studies at Sydney.

There are no right or wrong answers—just be yourself and speak naturally. This activity is part of our commitment to helping every student feel confident and well-prepared before starting university life.
